SERVICE DEPARTMENT, ASSISTANT DISPATCHER - PORTLAND

Mechanical Services, Inc. is currently seeking a highly organized, professional, courteous, and motivated person to fill the position of Service Department, Assistant Dispatcher based in our Portland office.

This position is responsible for assisting the Dispatcher reviewing all requests for service, prioritizing them, scheduling them with the customer, assigning the appropriate Service Technician(s), ensuring that required materials are available for the work to be performed, coordinating with Sales and Engineering personnel in prioritizing and scheduling work, etc. This role is essential to the operations of the Service Department operating from the Portland office, helping to ensure professional and efficient delivery of our services. Regular business hours are Monday – Friday, 8:00 AM to 4:30 PM with some overtime hours as needed.

Responsibilities

  • Answer the phones and follow established protocol for handling the calls.
  • Creating call slips in our service management software when caller requests service.
  • Dispatching electronic call slips to service technicians with assistance from Dispatcher prioritizing work.
  • Reviewing service software for open, unfinished service calls to ensure timely completion of all service requests.
  • Speaks directly with customers when they call to request service.
  • Provide feedback to customer on when we might be able to respond to request.
  • Create “Call Slips’ in scheduling software.
  • Schedule and assign technician(s).
  • Transmit “Call Slip” to technician’s mobile device with service instructions and any special considerations.
  • Coordinate with Purchasing to make sure required materials are available.
  • Review “Call Slips” returned from the field technician and either re-assign or re-schedule incomplete calls, or forward to Accounts Receivable for invoicing.
  • Other tasks and duties as assigned.

Requirements

  • Professional and courteous communication with customers, external and internal.
  • Previous customer service experience.
  • Strong planning and organizational skills.
  • Ability to coordinate office work and answering calls.
  • Ability to work in a busy office environment every day.
  • Strong computer skills, proficient in Microsoft Outlook, Word, and Excel and capable of quickly learning our service management system.
  • Prompt and reliable attendance.
  • Knowledge of HVAC service industry and service dispatching is a plus.
  • Successful candidate must have a valid Maine driving license, pass a criminal background check and a pre-employment medical evaluation.

PROJECT MANAGER - BIMS

We are seeking a hardworking and reliable Project Manager to join our team. In this role, you will oversee all aspects of a primarily HVAC construction project across multiple K-12 School facilities and ensure the various construction trades progress on schedule and within budget. The ideal candidate is an expert in building methods and has a proven track record of successful construction management projects.

Job Skill Sets

  • Understand project scope and customer expectation.
  • Ensure business is conducted with the highest ethical standards.
  • Provide leadership by demonstrating focus on exceeding customers’ expectations.
  • Develops and adheres to a Project Schedule for each assigned project.
  • Schedule key deliverables and milestones and ensure progress is being made.
  • Plans, schedules, and controls project activities.
  • Ensure that assigned projects are done accurately, on-time, billed, within budget and within scope of the contract.
  • Utilize resource planning techniques to gain high productivity from team members.
  • Provide reporting of project progress in Weekly Management Project reviews, as needed.
  • Establish customer touch points throughout the life cycle of projects to gain feedback on customer satisfaction.

Education, Training and Experience

  • Bachelor’s degree in construction management, engineering, or a related field is preferred.
  • Minimum five (5) years of experience as a Construction Manager is preferred.
  • Understanding of construction management methods and processes.
  • Advanced knowledge of construction methods, building products, and building codes.
  • Strong leadership and crisis resolution skills.
  • Familiar with Microsoft Excel and construction management software, MS Projects, E-Builder.
  • Ability to break large projects into small steps.
  • Management experience with projects related to HVAC, Controls/BAS, Lighting, and Energy Savings systems is desired.
  • Demonstrated verbal and written communication skills.
  • Must have the ability to communicate technical material to a non-technical audience.
  • Strong Personal Computer in MS Office (Excel, Word, PowerPoint), Adobe/Nitro, Teams and basic Windows environment.
  • OSHA-30 Certification for Construction is preferred.

Preferred: LEED certification or PMP Certification

PROJECT ENGINEER - MAINE CONTROLS

Mechanical Services, Inc./Maine Controls is currently seeking a highly organized and motivated person to fill the
position of Project Engineer.

Successful candidate will receive project summaries and estimates from sales personnel and:

  • Create, complete, and submit Construction Submittal packages, based on engineer’s blueprints and
    specifications.
  • Order and track all required products and materials for timely delivery.
  • Communicate with design engineers, mechanical contractors, sub-contractors and in-house personnel to
    help resolve any design or installation issues that may arise and meet project deadlines.
  • Assists in-house personnel to ensure the services we provide comply with the terms of approved contracts
    and agreements.
  • Conduct periodic job site visits to coordinate in-house personnel, general contractors, and sub-contractors
    to ensure project remains on schedule. Other duties as assigned.

Substantial involvement with general contractors, mechanical contracts, design and specifying engineers, etc.
Customer relations skills are essential. Strong interdepartmental communications are required. Computer
proficiency is required. Familiarity with Microsoft Office, Visio or equivalent CAD software, etc. is
required. Familiarity with mechanical drawings and system blueprints is preferred.

Must possess a valid driver’s license and be able to successfully pass a criminal background check.

Must be able to interact with customers, vendors, subcontractors, service technicians, sales engineers, service
managers, accounting personnel and other internal staff on a regular basis. Appropriate attire is required with a neat
and clean appearance. Must understand and follow all safety policies. Must be able to read and understand RFP’s,
RFQ’s, blue prints, and other job-related documents. Must be able to access mechanical rooms, rooftops, and other
areas to monitor project progress.

Other duties as assigned.

FULL-TIME HVAC/R SERVICE TECHNICIAN

Successful candidate will have a minimum of three (3) years of experience servicing, repairing and installing commercial heating, ventilation & air conditioning; refrigeration systems; and heat pump systems. Will possess a Maine State Gas license with appliance service and installation endorsement preferred, large equipment endorsement would be a plus. CFC certification is required.

Journeyman Oil 1 & 2 under 15 GPH license not required but valued. Over 15 GPH a plus.

Knowledge of electrical controls required. Must have excellent communication and customer relations skills. Candidate must possess a valid driver’s license and successfully pass a pre-placement medical evaluation, and a criminal background check.

FULL-TIME DIVISIONAL SUPERVISOR

  • Divisional Supervisor at our Rockland, Maine location

Successful candidate will have a minimum of ten (10) years of commercial HVAC experience servicing, repairing and installing commercial heating, ventilation & air conditioning; heat pumps; refrigeration systems.

The position includes assisting and supervising service technician(s), project estimating and sales, customer relations, and hands-on service work as well including preventive maintenance service, emergency service, repairs and installations. Hourly wage based on skill level and experience. Some overtime should be expected based on work load.

Requirements:

  • Maine State Gas license, with Large Equipment endorsement.
  • Universal CFC certification is required.
  • Journeyman Oil 1 & 2 under 15 GPH license preferred. Over 15 GPH a plus.
  • Knowledge of HVAC electrical controls required.
  • Excellent communication and Customer Relations skills.
